The Provincial Secretary attends all Executive meetings (approximately 10 per year), Governing Council meetings (approximately 3 per year) and the Annual General Meeting and is responsible for recording the minutes at each meeting for further review of the auditor. The Provincial Secretary is also responsible for the co-ordination of the October APSSP Planning Weekend, such as sending out notices to local Chapter executives, booking of the hotel and conference rooms, the meals, the accommodations, and other details as necessary. The Secretary assists the Public Relations person in the co-ordination of the AGM held in the spring. Two mailings are sent to all APSSP members to notify them of the date, as dictated by the Constitution. The Secretary is responsible for the maintenance of the Association's files, Policy Manuals, Membership Directory, Bring Forward File, Motions Passed, APSSP Equipment and Collective Agreements. Some of the areas are operationalized for the task at hand such as sending out the Notices for the AGM to all members, coordinating Chapter Secretary meetings (one per year), updating information for the Membership Directory, ensuring accurate information as to Chapter executive members and reviewing and updating this manual.
